Information we receive
The enquiry form asks for your name, property postcode, required service and a short project description. Provide an email address or telephone number so we can reply. Budget and timing are optional, as are up to three JPG, PNG or PDF attachments of up to 2 MB each.
We also receive information you give us by email, telephone or WhatsApp when discussing your enquiry. Please include only details relevant to the work and avoid unnecessary personal information about other people.
You can contact us by telephone instead of using the form. If you use the form, its required details help us understand the request and respond. Sending it does not subscribe you to a marketing list.
How and why we use it
- Your project or quotation request: to understand the work, answer questions and discuss next steps. Where this is necessary to take steps towards a contract with you at your request, that is our lawful basis.
- Other business enquiries: to respond and manage the conversation. Our lawful basis is our legitimate interest in handling enquiries about our business.
- Website and enquiry operation: to prevent spam, investigate delivery problems and maintain a reliable service. Our lawful basis is our legitimate interest in keeping the website and enquiry route secure and working.
How enquiries are handled
Enquiries go to our business inbox, where the business owner handles them. E16 Media supplies our website and email services, which process information needed to host the site and deliver and store email.
Visiting the website sends connection and request information to the hosting service. The form also processes technical request information as part of handling and checking a submission. Technical logs, backups and maintenance copies are separate from messages in the inbox.
Removing a temporary form upload does not remove copies already included in an email or backup.
How long information is kept
At present, enquiry emails and their attachments remain in our business mailbox without a fixed deletion schedule. You can contact us about information we hold about you using the details above.
Website features
Our homepage displays selected public Google reviews using Trustindex. Loading this review display requests scripts and images from Trustindex and Google, which receive technical connection information such as your IP address and browser details. Reviews are reproduced without changing the customer’s wording. The Google review link opens the full business profile.
We display posts from Torba’s Instagram account using Social Feed Gallery. Images and videos may load from Instagram/Meta servers, which receive connection information such as your IP address when those resources load. Instagram’s privacy information applies when you use its services.
The form includes an automated spam check. If it prevents a genuine enquiry, please contact us by email or telephone.
WhatsApp, review, social-media and video links take you to other organisations’ services. Their privacy information applies when you use those services. You can contact Torba directly by email or telephone instead.
Website enquiry counts
We use daily totals to understand use of our Call, WhatsApp and enquiry-page links, and count enquiry emails accepted by our mail system. These totals do not identify individual visitors or confirm completed calls, messages or inbox delivery. The counter stores only the date, action, website installation identifier and total. It does not store contact details, form contents, IP addresses or page URLs, create cookies or browser storage, or send events to an external analytics service. Normal connection information still reaches our hosting provider. Reports cover 90 days; older totals are removed when another event is recorded or through manual maintenance.
Your rights
You can ask for a copy of your personal information and for inaccurate or incomplete information to be corrected. Depending on the circumstances, you may also ask for deletion, restriction of use or a portable copy.
You have the right to object to use of your information based on legitimate interests. Contact us using the details above.
